An exciting opportunity has arisen for a Receptionist & Office Administrator who embodies the FreshMinds culture and is at the forefront of everything that goes on in our busy office.
FreshMinds is a fast-paced environment, and we need a conscientious and committed individual to be the first point of contact for our offices and help manage and maintain our office environment.
You will need to be well-organised and have the ability to manage your own time successfully; being able to multi-task is a must in this position. You must also be adept at building relationships with individuals at all levels and be a strong communicator with a friendly confident manner.
Reception cover: as the first point of contact for the FreshMinds brand, you will constantly act as an ambassador for the business and provide excellent customer service to clients, candidates and the team, answering phones / taking messages and managing our meeting rooms.
Working across the company supporting our teams with projects on an ad-hoc basis.
Liaising with our landlord on facilities: radiators, bathrooms, and any problems regarding fixed structures.
Maintaining the reception area and meeting rooms ensuring they are kept client-ready.
Maintaining the office and facilities: kitchen and breakouts ensuring they are kept stocked and tidy for all employees
Collection and distribution of post & deliveries daily.
Liaising with our sub-letter companies ensuring they have everything they need.
Processing incoming e-mails promptly ensuring the right information is passed on to the correct people.
Creating and maintaining strong relationships with our clients, candidates and suppliers.
Event planning: Summer party, Christmas party and company Ski holiday.
Managing Reception cover employees ensuring seemless lunch/holiday cover
Project work: this role offers a very exciting opportunity to assist in various ad hoc improvement projects for our office and the office environment.

In this role you will be need to be diligent, proactive, well-organised and be able to keep tight deadlines: juggling the conflicting demands that come with the variety of roles.
The ideal candidate will also demonstrate the following skills and attributes
Proficient in the use of Microsoft Office (Outlook, Excel, Powerpoint, Word)
Previous experience of working front of house and office administration
Self-motivated to work alone and adaptable to team environments
