The opportunity:

We are looking for an Office Manager/HR Administrator who will be the face and Ambassador of Octopus Group. We need someone who is bright, efficient and meticulous who gets things done today not tomorrow. Someone who is super impressive and stands out from the crowd – this is no ordinary role or an ordinary agency….

Working in lovely offices with a friendly and positive atmosphere, this role is incredibly important for us and will offer someone a busy, varied and constantly evolving role with lots of diverse HR and office management tasks on a daily basis. A large part of the role will be ownership of all office management responsibilities as well as wider HR support to the Head of Talent. Your high level of organisation, professionalism and can-do attitude will enable you to achieve your daily duties which will include, meeting and greeting visitors, ensuring our office is looking ace, managing suppliers and supplies, supporting with on boarding new employees, maintaining accurate people records and processing of all key HR administration as well as organising all company events.

You will really be kept on your toes so we are looking for someone with office administration experience under their belt who is passionate about HR, proactive, incredibly driven with a focussed attitude to join a fun team with high expectations. There will be every chance to get involved and offer ideas and you can definitely build and grow this all round support role long term. This role would suit an energetic, practical and hands on candidate who enjoys working in a busy environment.

Office Management responsibilities:

– Answer phone calls, and deal with telephone and email enquiries/requests effectively
– Act as first point of contact for all visitors to Octopus Group
– Greet clients with a pleasant and professional manner and deal with their enquires efficiently and courteously
– Organise meeting rooms for internal and external meetings including equipment and catering
– Take care of calendar management, preparation of meetings (internal/external)
– Manage the general appearance of the office at all times
– Install your own ideas and process the operation of the company – being the glue & go to person (it’s a real lynch pin role)
– Manage the meeting room bookings system
– Manage the catering and refreshments for internal and external meetings
– Book couriers and taxis and flights
– Sort and distribute mail and deliveries and prepare outbound mail for collection
– Manage and order stationery, office and catering supplies, checking stock regularly and order and replenish as necessary to ensure that supplies never run out
– Provide administration support to teams as required
– Support Board members with diary and travel arrangements as required
– Liaise and negotiate with the Building Manager and supplier to maintain the condition of the office and arrange necessary repairs
– Manage with cleaners and ensure all cleaning supplies are kept fully stocked
– Manage and distribute the seating plan and telephone list, ensuring complete accuracy at all times
– Nominated First Aider and Fire Warden
– Organise internal and external events as directed by HR and the board
– Be commercially aware and seek out ways to make the function more cost effective

HR responsibilities:

– Assist with recruitment, including;

– Formulation of job descriptions

– Liaise with recruitment agencies

– Advertise vacancies, internally and externally

– Support the induction and on boarding of new starters

– Support all recruitment initiatives including assessment days

– Obtain references

– Talent sourcing across all online channels

– Assist with the design and delivery of the induction for new employees
– Support the delivery of employee engagement projects
– Assist with administering Company benefits, sourcing new Company benefits and/or reviewing the Company benefits package
– Support with co-ordination of training activities and making sure planned training days run smoothly
– To liaise with all levels of staff regarding any queries relating to sickness and absence
– Provide support with general HR administration
– To actively promote best practise in line with company polices and house rules
– Ad hoc duties/ projects to support the Head of Talent

The Candidate

Successful candidates will be working closely with all employees, particularly HR and the management team on specific tasks. You will need to be very positive, focused and conscientious with a can-do attitude and willing to go the extra mile, even when the pressure is on!

Experience required:

– Recent, demonstrable experience gained within an Office Administrator/Manager role
– Genuine interest in HR
– Some event management experience would be preferable, although not essential
– Strong MS Word, PowerPoint and Excel skills

– Confident and super organised with great negotiation/communication skills
– Able to think on your feet, you will be proactive and self-motivated with excellent attention to detail
– Tackle any problem or task with common sense and a practical approach
– First rate communication skills and understand the importance of developing effective internal and external relationships
– Strong inter-personal skills combined with a requirement to ensure confidentiality when appropriate are essential
– Must be a team player with a willingness to help others
– Flexible, organised and calm approach to work is essential
– Ability to manage own time and be on top of different initiatives
– Initiative and proactive approach to working
