An exciting opportunity has arisen for a Receptionist / Administrator at Osprey Europe’s brand new purpose built Headquarters in Poole, Dorset. This is an evolving role that is expected to develop over time.
Osprey Europe was established in the UK in 2003 to handle supply of Osprey products to the European market and to increase its global recognition as an industry leader. This is a fast-paced, innovative company which prides itself on delivering high quality products and excellent customer service.
Reporting to the HR Manager, you will act as an ambassador for the company by providing a friendly, efficient customer service and creating a welcoming atmosphere in the reception area. The primary purpose of the role is to deal with visitors face to face and answer queries on the phone, as well as providing administrative support to the Guarantee department, Customer Services team, and other areas of the business.
As part of your responsibilities you will:
Welcome visitors in a professional manner, assisting and directing them to appropriate person in company, ensuring they sign in as appropriate
Answer and forward telephone calls, taking accurate messages and passing them on to the appropriate person in a timely manner
Assist in the planning and preparation of meetings, and organise any necessary refreshments
Ensure the showroom, meeting rooms and Skype room are clean, tidy and ready for meetings
Take responsibility for keeping kitchen clean and tidy (including stocking refreshments)
General administration duties to include dealing with post, typing of documents, photocopying, filing and collating documents, coordinating email inbox for Guarantee department and assisting Customer Services with invoice scanning.
Responsible for ordering stationery and consumables.
Assist staff with diary management, travel arrangements and hotel bookings as requested
REQUIRED SKILLS AND EXPERIENCE
To apply you must have substantial reception and administration experience, preferably in an office environment.
You will have good computer skills (Microsoft Word, Outlook and Excel essential), be well organised and have excellent English verbal and written communication skills. You must be articulate and confident and have a passion for providing exceptional customer service.
It is essential you have a friendly, polite and professional manner, a smart appearance and can use your own initiative.
A full UK driving license is required.
Being a car owner would be an advantage, as well as having an interest in or participating in outdoor activities.
