Overview of the Role

My client is looking for an exceptional candidate to join as Team PA supporting the Managing Director and a number of senior staff across the business. This is an important role and you will need to be willing to get involved in a range of tasks, be flexible in your approach and able to juggle completing priorities. This role offers someone an excellent opportunity to develop their organisational skills further in a demanding and rewarding organisation.

This company and Team advises governments around the world. We work in partnership with civil servants and frontline professionals; understand the context in which their citizens make decisions; use a huge range of academic research; and run randomised controlled trials. The team has a relaxed and non-hierarchical office culture. Staff regularly eat lunch together; play sport; and socialise outside of work time. This role sits within an expanding Operations Team, your line manager will be the Executive Assistant to the Chief Executive Officer.

Roles and Responsibilities

This role is split into 3 areas, but you will need to be willing to take a flexible approach to tasks across the business

  1. PA to MD (approx. one third of your time)
  2. Team PA to 4 Directors, Head of Research, Company Secretary and Head of Human Resources
  3. Team Administrator

1. PA to MD – Key Duties include:

  • Managing the MD’s calendar – organising meetings and booking meeting rooms / dial in facilities as required;
  • Meet and greet external clients when they arrive on the floor and offer refreshments;
  • Organising and processing expense claims;
  • Organising and providing itineraries for all travel (overseas and UK);
  • Printing / scanning / gathering any pre read material for meetings;
  • Respond to external requests on behalf of the MD;
  • Keeping timesheets up-to-date; and
  • Ad hoc duties as required.

2. Team PA to Directors, Company Secretary & General Counsel and Head of Human Resources

  • Organising meetings and booking meeting rooms / dial in facilities as required;
  • Organising and providing itineraries for all travel (overseas and UK);
  • Meet and greet external clients when they arrive on the floor and offer refreshments;
  • Printing / scanning / posting overseas contracts; and
  • Ad hoc expenses.

3.Team Administrator

  • Supporting the Office Manager e.g. setting up new joiners with IT / welcome pack / tour of the office;
  • Organising regular team lunches and keeping lunch list up to date with what has been ordered;
  • Sending out invites for external team lunch talks – including a biography and relevant information;
  • Keeping a database of speakers who have attended and their contact details;
  • Room bookings for other tenants in the building when required;
  • Ordering of stationary and weekly kitchen supplies;
  • Stocking the fridges with milk / cold drinks each day;
  • Website maintenance (as and when required);
  • Keeping the office presentable and tidy;
  • Help with post distribution; and
  • Any other ad hoc duties

Essential

  • Strong communicator and interpersonal skills- able to communicate appropriately to staff at all levels;
  • Excellent oral and written communication skills;
  • Strong IT skills (Google, MS Office);
  • Can do attitude / willingness to be flexible;
  • Self-motivated;
  • Good organisational skills; and
  • Attention to detail
