Our large Financial Company based in Medway is looking for an Executive PA to support their team on a 9 month maternity cover.
The role will be based primarily in the Chatham office with at least 1 day each week in the London Office and the job holder will need to be flexible in this regard.
To provide full secretarial and administrative executive support to the Executive Team and to the Chief Executive Officer, Finance Director and Sales and Marketing Director when required. Assist the Chairman and None Executive Directors, and attend Board and Executive Committee meetings, taking minutes and preparing and distributing committee papers. Arranging away days, travel, lunches and refreshments for meetings and any other events as required.
Full executive administrative support and diary management for the wider Executive team and providing support to the Chief Executive Officer, Finance Director and Sales and Marketing Director when required
Assist the Chairman and None Executive Director’s with administrative duties, meeting arrangements and Board meeting assistance
Arrange committee meetings working with executive diaries to ensure meetings are fully booked, collating and circulating committee meeting information and papers
Arrange Board meetings and assist all Board directors, liaising with external Board PA’s.
Assisting with the circulation and distribution of Board papers in a timely fashion.
Arranging breakfast, lunch and refreshments and remaining on site for the duration of Board meeting days
Minute Executive Mortgage and Acquisitions Committee, collating, preparing and distributing meeting minutes in a timely fashion
Assist the Executive Assistant with any administrative duties as required
Collate and arrange sign off and payment for Executive’s credit card expenses in line with the Company’s expenses policy
Arrange lunch & breakfast meetings with various companies and members of the Executive team
Help with arranging Executive and Board away days sourcing venues and costs
Arrange and book travel in the UK and overseas ensuring travel Visa’s are acquired in time for travel
Assist with the organisation of Company staff events when required
Management of the London office for stationary, refreshments, cleaners, access keys for new starters and couriers
Manage Travel and Accommodation requests for overseas Staff travel to UK
Maintain the company’s compliance standards and own compliance training
To apply for this role you will need to following skills:
5 years experience working as an Executive PA or PA for a group of executives or senior managers is essential
2 years experience working in a Financial Services organisation is essential
Advanced level skills in Microsoft Word, Excel and PowerPoint and Office are essential
Experience of booking meetings and travel in London and familiarity of London locations is essential
Experience of working in a corporate environment where professionalism and an appropriate manner is of the highest regard is essential
Secretarial /Business Administration qualification such as a Pitmans Secretarial Diploma is essential
GCSE or O-Level qualifications in both Maths and English are essential
