ACCOUNTABILITIES and RESPONSIBILITIES:
Building Support:
Final distribution of post to teams/officers
Order and issue stationery for floor and maintain stationery storage located on each floor
Maintain supplies for the two printers on each floor and undertake basic maintenance and troubleshooting
Maintain equipment storage area undertake issuing and return of equipment
Act as reception point for each floor
Keep meeting rooms on each floor stocked as relevant and in order
Keep information on television monitors up to date
Keep the staff library area in order
Act as fire warden/first aider/health and safety officer for each floor
HR and Finance Support:
Processing of purchase orders, including generation of electronic purchase requisitions and arranging urgent payment requests
Maintenance of assets registers and information on supplier contract
A range of IT requests such as arranging logons, setting up user accounts, maintaining phone and email lists, ordering hardware, updating web site information etc.
and reconciling of cash and cheques
Creation and sending of sales invoices
Collating and monitoring data for leave, sickness & appraisal etc
Payroll submissions and queries
Coordinating permanent and non-permanent recruitment
Service Specific Support:
Answer telephone calls and emails from customers/clients, referring enquiries to the
relevant officer/service as necessary
Provide service information or signposting to information
Advise on how the process works, and give basic information on legislation/procedures
Log calls in the relevant systems
Provide updates to customers/clients on progress of referrals/applications/enquiries
Take service requests from customers, or from officers, ensuring the correct information is obtained and recorded in the relevant systems
Set up applications on the relevant systems
Act as liaison between clients and officers
Organise client/officer visits, meetings and case conferences, including venues and travel
Update and maintain documentation and information on systems and databases
Provide reports to managers as part of service, departmental, council, partnership an national reporting requirements
Education, Training and Qualifications
Good literacy, numeracy and IT skills
Knowledge and Experience
Experience of providing business support in a busy environment
Experience of data input and data management ensuring accuracy and where appropriate confidentiality
Experience and competence using IT and business support packages including
Experience of note and minute taking
Experience of providing information to customers using good communication skills
Experience of using business processes and giving guidance on them to colleagues
Skills and Abilities
Competent in all standard office IT packages
Able to use information systems and databases to record service information and generate reports required by the service
Actively looks for ways of improving services and outcomes for customers.
Able to work on their own initiative or as part of a team
